Executive Assistant to the CEO

Responsibilities
 

This role represents a primary and critical support element to the efficient and effective operations of the Office of the CEO of OPPD. This role is viewed and expected to act as a representative of the CEO. This role must maintain a strategic understanding of the CEO's and company priorities, anticipating and resolving issues on behalf of the CEO to ensure their time is focused and optimally used for the benefit of the company. This role will need to be able to navigate and effectively engage with a wide array of contacts (both internally and externally) to support the CEO's time management, relationship building, and to ensure that the right levels of issues are escalated appropriately, delegated to the correct individuals, or independently resolved through their own levels of authority. This role represents a trusted advisor to the CEO and must represent the brand and executive presence of the Office of the CEO. The level of interaction and transparency between this role and the CEO will require the highest levels of trust, loyalty, confidentiality, and discretion to ensure an effective working relationship. On occasion, provide defined administrative duties for members of the OPPD Executive Leadership Team (ELT). Lastly, this role will represent the starting point for individuals to work with prior to engaging directly with the CEO. This partnership will ensure the CEO's time, energy and focus is intentionally aligned with the priorities driving the long-term success and prosperity of OPPD. 

1. Time Management Optimization: Maintain a comprehensive/holistic understanding of the CEO's schedule. Anticipate & ensure scheduled events (Daily/Weekly/Monthly) fully optimize the use of the CEO's working time while safeguarding moments/blocks for effective preparation, reflection, and intentional down time.
 - Initial Contact Point: Develop relationships across a broad network of stakeholders. Establish the role as the first point of contact and most effective means when considering the need for time with CEO. 
 - Daily Schedule: Protect the schedule of the CEO while ensuring that requests for time are collected and integrated in alignment with CEO priorities and criticality.  
 - Travel: Ensure seamless experiences to ensure timely arrivals/departures. Anticipate CEO needs and ensure the optimal use of time for event preparation, review of materials, and preparation for future scheduled events.

2. Preparation and Context: Ensure the CEO is effectively prepared for scheduled events. Prepare materials, present summary descriptions & make connections to ensure the CEO can engage effectively with upcoming/scheduled events.
 - Consider and incorporate elements such as: Briefing summaries, explanations of meetings/agendas in the body of a calendar invite, specific goals of the meeting and who will be attending, etc.

3. Leadership Team Coordination: Coordinate the CEO and ELT management routines.  
 - Assist with the creation and maintenance of systems and processes to streamline management operations and effectiveness; collaborate with other Executive Assistants so the Executive Office operates at a high level.
 - Coordinate meetings and events internally to deliver an elevated experience during external interactions.

4. Administrative Assistance: Perform duties necessary for maintaining the Office of the CEO. 
 - Assist with meeting coordination of the ELT.
 - Plan for, coordinate and conduct event-planning activities for specified annual events.
 - Process and report business expenses.

 - Any other administrative duties that may be required.

5. CEO Messaging/Communications Advisor: Provide a trusted quality assurance filter and help refine content, narrative, etc. to ensure the CEO is always delivering congruent messaging.
 - Participate in the coordination and ongoing refinement of communications generated by the CEO.
 - Review, refine and ensure CEO alignment with messaging, presentations, talking points, etc.
 - Support the CEO in the development and delivery of recognition across the District. Ensure recognition is customized for the occasion, accomplishment, and group/individual preferences.

6. Stakeholder/Network Management: Support the CEO in the establishment and maintenance of strong personal and professional relationships across a broad network of internal and external colleagues, stakeholders, employees, etc.
 - Establish the role as the primary point of contact or entry point for issues to be brought to the CEO.
 - Develop and maintain resources that support the CEO's ability to maintain fresh and relevant relationships.
 - Deliver tactful communications on behalf of the CEO or in alignment with their intentions.

7. Proactive Problem Resolution: Independently identify and initiate actions to support the resolution of issues or roadblocks to CEO's plans.
 - Develop and maintain a comprehensive awareness and understanding of what the CEO is planning, in order to anticipate and resolve issues facing the execution of these plans.
 - Work with the technology team to ensure the CEO and executive office maintain highly functional spaces.
 

Qualifications

 

Required: 
 - High School diploma/GED.
 - At least  two (2) years of administrative experience at the executive level.  
 - Demonstrate excellent interpersonal, verbal, and written communication skills.
 - Maintain a high degree of confidentiality.
 - Demonstrate tact and sensitivity when communicating with Directors, customer-owners, employees, utilities and other businesses. 
 - Proficient with Outlook, Word, PowerPoint, Excel, HR and expense-reporting systems. 
 - Work independently and with a sense of urgency.
 - Exceptional organizational skills, problem solving skills, and flexibility in changing priorities.

Desired: 
 - Five (5) years of administrative experience at the executive level.
 - Bachelors degree.
 - Board material processing experience.
 - Familiarity with general budget procedures.
 - Working knowledge of or familiarity of the following computer systems: Asset Suite, PeopleSoft, Microsoft Productivity Tools and basic knowledge or familiarity of accounting principles pertaining to vendor payments and contracts.

Salary Grade: S5

Foundation: $96,465

Midpoint: $120,581
