Position Summary:

Under general supervision, provides administrative follow-up on service orders, energy audits, meter sets, and gas leaks. Maintain records of backflow preventers and inspections. Prepare letters regarding backflow inspections. Arrange appointments for inspections and meter changes. Assist with typing and other administrative duties.

 

Minimum Requirements

• Required - Experience in standard office procedures and effective telephone communications skills with internal and external callers.

 

Education

• Required - High School Diploma or General Education Diploma (GED)

 

Licenses, Certifications and/or Testing

• Required - Pre-employment Background Check & Drug Screen Upon Hire

• Required - Employee(s) in this position are covered under the Department of Transportation Drug and Alcohol testing provisions. This includes post-offer, random, post-accident, reasonable suspicion, follow-up, and return to duty testing. Upon Hire

 

Knowledge, Skills and Abilities

• Machine skill speed of 25 words per minute (wpm); those meeting 25 wpm and with a high degree of accuracy will be given preference.

• Familiarity with the District's service area in order to efficiently schedule service work.

• Proficiency with personal computers, tablets, and/or other electronic devices to include familiarity with, but not limited to, Microsoft Office Suite (Excel, Outlook, Word) and enterprise-wide software (e.g., SAP). (Intermediate proficiency)

• Ability to learn new or upgraded computer software as required.

• Basic office skills operating fax machines, and copiers, ability to create, maintain and retrieve data from files, and the ability to create and maintain various information logs.

• High degree of accuracy in both typing and proofreading of forms.

• Demonstrative ability to prioritize work, handle multiple tasks, and adapt quickly to changing work demands.

• Flexible with interruptions and ability to handle multiple tasks and work in a fast-paced environment with a large workforce.

• Efficient written and verbal communication skills, in English, to assist internal and external customers, co-workers, and management professionally, regardless of provocation.

• For bilingual specific role(s) there is an additional requirement based on business needs. ? Essential Functions

• Schedule sample meter changes.

• Assist with scheduling consumption variance and non-registering meter changes.

• Perform follow-up work on meter changes, Furnace Inspections, and Backflow Surveys in SAP.

• Send letters to customers.

• Assist with customer inquiries and calls as needed.

• Order supplies and forms.

• Perform general filing as needed.

• Perform data entry work as needed.

• Answer telephones including other personnel calls when absent or busy.

• Assist other Field Service Administrative Clerks as needed.

 

• Water Service Leaks and Inoperable Stop Boxes

* Perform clerical duties for customer warning notices (441) for water service leaks and inoperable stop boxes.

* Responsible for creating letters and maintaining databases and processes for 441 notices issued by field personnel and creating follow-up service orders for re-inspection.

* Enter completion information in SAP and close violation orders.

* Inform Corporate Communication on all lead water services that have been issued a (441) notice. * Notify Claims on (441) notices that require immediate attention for leaking water services and inoperable stop boxes.

* Contact customers regarding (441) notices on their accounts.

 

• Service Orders, Meter Changes, Gas Leaks

* Review and prepare labor charges for service orders.

* Process meter changes and commercial gas meter sets.

* Enter regulator information in the customer master record.

* Schedule orders for change-over.

* Generate Service Orders.

* Schedule appointments for changes.

* Operate letters in iteres.

 

• Backflow

* Maintain files of backflow preventers on PCs and hard copies using SAP Software.

* Update PC’s for new or replacement backflow preventers.

* Update inspection on PC’s for all inspectors, District, and private contractors.

* Maintain certified inspector lists and update as necessary.

* Schedule inspections and retests.

* Complete monthly report regarding new valves inspected, numbers tested, and failures rated.

* Update list of approved backflow preventers.

* Write letters for violations and shut-offs. Type other correspondences.

* Communicate with the permits and inspection division of cities such as Omaha and Bellevue regarding violations reported by inspectors.

* Mail water surveys and record survey information.

* Operate letters in iteres.

 

• Furnace Inspection Scheduler

* Process and file heating applications in SAP.

* Schedule heating permit inspections.

* Send appliance rejection cards to installers.

* Send letters to customers who have recently installed replacement heating equipment and who are requesting an appointment time for an inspection by the District.

* Generate and complete service orders.

Physical and Environmental Requirements

• Office: Work is primarily performed in an office setting amid normal conditions of dust, odors, fumes, office lighting, and noise.

 

Hybrid Flexible Work Arrangement

Job may be eligible for a hybrid in-office and work-from-home flexible work arrangement.
